2014-2015AY AP Recruit System Implementation

The UCR campus will go live with a mandatory deployment of the AP Recruit System for all 2014-2015 academic recruitment plans covered in the Affirmative Action Recruitment Guidelines http://affirmativeaction.ucr.edu/pracacademic/ucraarecruitguidelines.pdf . Beginning August 8, 2014, all academic recruitment plans must be entered and approved in the AP Recruit System.

Last year, UCR launched a successful pilot deployment of the AP Recruit system in the 2013-2014AY which took place from September 2013 through June 2014. During that time, our campus managed 121 senate and non-senate recruitment plans in the AP Recruit online system.

February 2014 Updates

***NEW FEATURES***
This is a list of key features launched during the month of January 2014. For a complete list of updates and announcements, click on this link: http://sites.uci.edu/ucrecruit/

  1. Tooltip is now available to help analysts choose between Open-Close-Final (OCF)/Initial Review Date (IRD) when creating a recruitment
  2. The Recruitment details tab user interface (UI) has been revamped to improve ease of use
  3. Search and recruitment efforts text are displayed in Advertisements section
  4. Search & recruitment efforts are included in the Search Report
  5. New data fields for offers, such as start date, salary, etc. have been added

There are significant enhancements scheduled for deployment in April 2014. Information will be provided as they become available.

January 2014 Updates

***NEW FEATURES***
This is a list of key features launched during the month of January 2014. For a complete list of updates and announcements, click on this link: http://sites.uci.edu/ucrecruit/

  1. Applicant log now includes the offer / proposed offer made to the applicant
  2. Applicant log now includes emails sent to the applicant (subject line only)
  3. Analysts can now upload Interview Materials to the Documentation tab for a recruitment

The following features are now available in the QA site and are scheduled to be deployed in April 2014.

  1. Search Report – this feature will enable analysts to create a Search Report for a recruitment
  2. Draft Recruitment – this feature will enable analysts to create draft recruitments for approval and submit them for approval. This feature will also enable a designated approver to approve the draft recruitment prior to publication.

***USER GUIDE***
An updated version (December 2013) is now available on the AP Recruit website. The User Guide is typically updated on a monthly basis as new features are deployed.

***STAFF TRAINING***
In-Person Training is REQUIRED for all staff members using AP Recruit.
To request for training, send an email to apomail@ucr.edu. Staff training sessions are typically held once a month on an as-needed basis.

November 2013 Updates

***NEW FEATURES***
This is a list of key features launched during the month of November. For a complete list of updates and announcements, click on this link: http://sites.uci.edu/ucrecruit/

  1. Bulk email – this feature allows analysts to send emails to selected applicants
  2. Documentation Tab – this feature allows a Proof of Advertisement upload for a recruitment. Analysts will be able to specify ad locations and upload proofs of advertisement for these ad locations.
  3. Applicant Status – this was updated to add the ability to specify proposed offer information for applicants with the “Selected Candidate” status. The offer information for applicants with the “Offer” status was also updated with these new optional fields. This is part of the AP Search integration project.
  4. Updated HELP documents – the HELP section includes user-specific guides in addition to the comprehensive User Guide

There is a number of additional updates for December. We will provide an update after the holiday break.

***ONLINE TRAINING FOR SEARCH COMMITTEE MEMBERS***
Online Training is REQUIRED for all search committee members using AP Recruit. This requirement applies ONLY to Search Committee Members that are listed on the Recruitment Plan and not to faculty reviewers.

The following procedural items are in place to ensure compliance with our internal recruitment policies.
The first item involves confirming that Search committee members have been provided information on the UCR Academic Recruitment Process.
The second item involves confirming that AP Recruit users have been provided system training.

To ensure compliance and to request access to the system, search committee members must:

  1. Complete the AP Recruit Online Training for Search Committee Members by Reviewing the PowerPoint presentation [30-45 minutes] or the pdf version; and
  2. Complete and Submit the Training Acknowledgement and AP Recruit System Access Request Form.

Limited Support During Winter Holiday Closure 2013-2014AY

Happy Holidays! Thank you for using AP Recruit!

The campus is scheduled to close beginning Saturday, December 21 through Wednesday, January 1, 2014, and will reopen on Thursday, January 2, 2014. There will be limited support during this time. Once the campus re-opens on January 2, 2014, every effort will be made to respond to users as soon as possible.

If you have recruitments with final modification dates that fall under the period of the closure, please consider extending the final date to after the holidays.

The following information will appear on all "Contact Us" forms used by applicants and references. "Campus offices are closed December 21, 2013 - January 1, 2014 for Winter Administrative Recess. Support will be limited during this time."

REQUIRED: APRecruit In Person Training for all Staff & Online Training for Search Committee Members

Reminder: AP Recruit In Person Training is REQUIRED for all Staff using the system and Online Training is REQUIRED for all search committee members using APRecruit.

APRECRUIT ONLINE TRAINING FOR SEARCH COMMITTEE MEMBERS

Please be informed that Search Committee Members are REQUIRED to complete online training once annually in the 2013-2014 AY prior to gaining access to the AP Recruit System. This requirement applies ONLY to Search Committee Members that are listed on the Recruitment Plan and not to faculty reviewers.

Note of System Maintenance scheduled for 11.6.13 from 6:30am-8:00am

On Wednesday, November 6, 2013 from 6:30am - 8:00am UCI will be performing system maintenance for UC Recruit. During this time all production and training sites will be unavailable for the 10 campuses using UC Recruit. The site will be unavailable to applicants, references, committee reviewers, analysts, and administrators.

The goal is to implement improvements to the infrastructure that will reduce the chance of service outage and help to recover quicker in the event of a service outage.

Using Dossier Services with APRecruit (e.g. Interfolio) (10-14-13)

Applicants who use Interfolio may utilize a feature provided by the Interfolio Service to allow Interfolio to upload their letters directly into AP Recruit without bothering the letter writer. Applicants can input an Interfolio-generated email address in place of their letter writer's email address. Interfolio refers to this as Online Application Deliveries.

Some other dossier services may send Recruit Analysts their own website link and token password. In this case, it's up to the Analyst to retrieve the letters and upload them into AP Recruit. Please note that letters of references may be uploaded on behalf of an applicant by a Recruit Analyst, even if the recruitment is not configured to gather letters of reference online.

AP Recruit System Online Training for Search Committee Members was launched on 10.15.13

All Search Committee Members for the 18 recruitments that are posted in AP Recruit as of 10.15.13 were emailed instructions and a link to the online training powerpoint slide and the training acknowledgement form today. Additional Search Committee Members will be sent training information as recruitment plans are approved.

Steps in Gaining System Access for Search Committee Roles
Step 1: Approved recruitment plan, including names of the Search Committee members, is sent to APO via OFSAA. Note that you do not need to send APO a separate list. We will use the information on the approved recruitment plan. Also, the mandatory training is only for Search Committee members not for faculty reviewers.
Step 2: APO will send a web link to the Search Committee members for the online training document (PowerPoint presentation) and the request for access form. Note that the presentation is for the UCR Recruitment Process and Introduction to AP Recruit for Search Committee Members. Search Committee Training will be available separately and is forthcoming.
Step 3: Search Committee member reads the PowerPoint (30-45 minutes), completes the request for access form and submits the completed form
Step 4: APO receives the completed form and informs the college/school/organization analyst
Step 5: College/School/Organization analyst grants access
