Configure Outlook


Configure Outlook for Mac for R'Mail 

Outlook for Mac can be configured to open R'Mail emails. Only emails can be synced with Outlook for Mac. Google, or the R'Mail, calendar does not work in Outlook. IMAP is the term for setting up a server sync of email. POP downloads your emails to your computer (also called a "local" copy) and they are no longer on the server. It is recommended to configure for IMAP.  

Instructions to configure the UCR Global Address Book are below. 

Enabling POP/IMAP in R'Mail on the Web

Enable IMAP access in R'Mail account

First, enable IMAP in R'Mail

  1. Click the Gears icon
  2. Click Settings
  3. Click Forwarding and POP/IMAP
  4. Select Enable IMAP
  5. Click Save Changes
  6. Set your Google Password (Your Google Password will be your password only for POP/IMAP access to your account.  You will continue to use your UCR password for web access.)

For IMAP/POP access you should also turn on "Allow less secure apps" in your R'Mail account settings:

  • In your R'Mail account, under your account initial or image, click My Account.
  • Click "Sign-in & security" and scroll to the section for "Connected apps and sites"
  • Flip the toggle for "Allow less secure apps" so that it is in the On position.

Set your R'Mail (Google) Password

Please see the instructions on how to set your Google Password. This must be completed before setting up IMAP or POP.

Configure Outlook 

To set up Outlook 2016 to use IMAP:
1. Open Outlook.

2. Click Mail in the lower left menu.

4. Click on Accounts.

5. The Accounts window will open. Select Other Email step 3

6. Fill out the account setup window as follows:

  • E-mail Address: Enter your UCRNetID@ucr.edu email address.
  • This will expand the account setup window so that you can enter the remaining settings.
  • Password: Type in your Google password.
  • Username: Enter your UCRNetID@ucr.edu email address.
  • Type: Select IMAP.
  • Incoming server: imap.gmail.com
  • Check "Override default port".
  • Port: 993
  • Check "Use SSL to connect"
  • Outgoing server: smtp.gmail.com
  • Check "Override default port"
  • Port: 587
  • Check "Use TLS to connect".

7. Click Add Account.

To set up Outlook 2016 to use POP:
Note: POP removes mail from the sever and downloads a copy.   
1. Open Outlook.

2. Click Mail in the lower left menu.

6. Fill out the account setup window as follows:

  • Username: Enter your UCRNetID@ucr.edu email address.
  • Type: Select POP.
  • Incoming server: pop.gmail.com
  • Check "Override default port"
  • Port: 995
  • Check "Use SSL to connect"
  • Outgoing server: smtp.gmail.com
  • Check "Override default port"
  • Port: 587
  • Check "Use TLS to connect"

 

7. Click Add Account.

Configure UCR's Global Address Book

Follow the instructions below to configure the global address book for UCR employees on your Outlook 2016 Mac desktop client. 

1. From the Tools menu, select 'Accounts...' Outlook 2016 - UCR Global Address Book - Accounts
2. In the resulting accounts window, near the bottom, click the '+' sign and choose 'Directory Service...' Outlook 2016 - UCR Global Address Book - Directory Service

3. In the resulting window, enter: 
LDAP Server: ldap.ucr.edu
Uncheck the 'Override...' and 'Use SSL...' checkboxes
The port number should be 389

Click 'Add Account'

4. Back at the Accounts window, enter: 
Account description: UCR LDAP

Click 'Advanced...' button at the bottom

5. Enter the following:
Search base: ou=persons,dc=ucr,dc=edu

Click 'OK'

6. Close the Accounts window  

You should now be able to type a portion of someone’s name or address in a new message, and after a few moments, suggestions from the campus LDAP server should be provided.
