We are pleased to announce that the University is updating our Learning Management System, known as the UC Learning Center. Beginning in August, you will see some changes when you log in. The site will feature a more modern look and greatly improved internet browser compatibility, among other features. Your current registrations and completed activities will remain as they are today.

To allow time for this upgrade, the UC Learning Center will be unavailable for at least five business days beginning at 5PM on July 28. Please make plans accordingly.

If you have direct reports you will automatically be given access to the manager role. That role will give you access to not only your own learning activities, but you will also be able to view the status of learning activities for your direct reports.

Getting to your Manager Access

After you log in to the UC Learning Center you will notice you have a learner tab and a manager tab

  • Hover over the Manager tab and click Dashboard

Manager 1
  • You will notice the Exception Report with a Team Summary. This provides a snapshot of the status of assigned* learning activities for your direct reports.

*Assigned Learning Activities are activities that have been assigned to your direct report with a due date. Only Administrators currently have the ability to set up assignments. To see activities not assigned that users have registered in to complete, please refer to View status learning activity registrations 

  • This information always be one day behind, so if an employee has completed an assigned activity that day you will not see it reflected on this screen until the following day.


Manager 2
  • There is an Activities tab under your Team Summary – selecting that will show you the different learning activities assigned to one or more of your direct reports.

  • If one or more of your direct reports needs to complete an activity, click on the blue button that shows number of users who need to complete the activity to view the list of those who need to complete that activity.

  • A Detailed Exception Report by Activity dialog box will appear highlighting the employee or employees who need to complete the activity.

View status of learning activities for a specific employee

After you login to the UC Learning Center hover over the Manager tab and click Dashboard.

There are two ways to select a specific employee in order to view the status of their learning activities.

  •  In the Quick Links section click on the Select another user or your workgroup link.

  • Type in the name of the employee you wish to view

  • Click Go (the magnifying glass icon)

    • Note – if you click Go without typing in a name you will see your full list of direct reports and you can select the individual you wish from that list.

      Selecting the "Workgroup of all viewable users" button and searching on empty string will return you to the workgroup view.

  • Click on the button next to the individual’s name.

  • Click OK

You’ll find snapshots of information on the page for the employee you are reviewing.  
  • You will also see a glimpse at current registrations. Your direct reports pending activities, including activities your direct report is wait listed for or activities requiring approval to attend.
  • If your direct report is also an instructor you will see the teaching activities tab.

Alternatively, you can also choose Employee View (or Transcript) from the Actions menu under the employee tile on the Exception Report (Manager Dashboard).

View assigned learning activities for a direct report

(when viewing their profile through manager role access).

  • Review the list of assigned activities and the status of those assignments.

Register an employee for a learning activity

(when viewing their profile through manager role access)

There are two ways to select a specific employee in order to view the status of their learning activities.

  • In the Quick Links section click on the Select another user or your workgroup link.

  • Type in the name of the employee you wish to view

  • Click Go (the magnifying glass icon)

  • Click on the button next to the individual’s name.

  • Click OK

  • Click Search (magnifying glass icon in upper left corner)

  • Type in a keyword for the activity in the search field.

  • Click Go (the magnifying glass icon)

  • Review the list of activities.

  • Click Register under the title of the activity you wish to register your employee into.

  • Review the details of the activity:
    1. Click on the activity
    2. Click Next
    3. Clikc Submit to complete the registration.
  • Review the confirmation – your employee receive an email of this registration and you will see this in their Training Schedule.

Cancel registration in a learning activity for a direct report

  • Click on the button next to the individual’s name.

  • Click OK

  • Hover over the Manager tab, then Learn menu, then select Training Schedule.


Manager 9
  • On the Training Schedule page find the learning activity you wish to cancel.
  • Select the check box on the far left column.

  • Make sure "Cancel Registration" is showing in the Task drop-down menu
  • Click Go (arrow next to Task drop-down menu)

  • On the Cancellation Confirmation screen select Cancel Marked to complete the cancellation.

  • If there are multiple classes or modules associated with the activity click Select All first and then Cancel Marked.

View learning activity transcript and certificates of completion for a direct report

(when viewing their profile through manager role access). 

After you login to the UC Learning Center hover over the Manager tab and click Dashboard.

  • In the Quick Links section click on the Select another user or your workgroup link.

  • Click on the button next to the individual’s name.

  • Click OK

  • Hover over the Manager tab, the the Learn menu, and select Training Transcript

  • Review the list of activities on their transcript

  • Click on the title of an activity to go to the Activity Details page.

  • Click the Export to PDF button at the top right hand side of your page and download a PDF copy of the transcript which you can print, save in your offline files, or include in emails if needed

  • When you click Export to PDF another window will appear.

  • You must click the File link to download your transcript.

  • Click OK to close the window.

  • Click on the diploma icon next to the title of the activity to view the certificate for an individual activity.

  • Review the certificate and print out a copy if needed.

Return to workgroup view after reviewing a specific direct report.

When reviewing the learning activity information for a specific employee if you logout of the UC Learning Center you’ll automatically see the workgroup view when you log back in. If you don’t want to logout you can take the following steps to return to workgroup view. 
  • In the upper right corner click on Your Name (Direct Report) drop down menu and select the Switch to workgroup view link.

The Manager access provides the ability to…

  • Review completed training for direct reports.
  • Register an employee for a learning activity (with or without a fee).
  • Cancel training for an employee.
