Office 365

Differences in Office 365

What is different about Office 365 from Exchange?

In almost all ways, your email and calendaring activities in Office 365 will be the same as they are with UCR's locally hosted (on-premises) Exchange service.

Some differences you'll see once your account is in Office 365:

  • Larger storage (mail, calendar, tasks, apps): 50 GB
  • Permanently Deleted Items: Messages remain in your Permanent Deleted Items folder for 30 days. Items are sent to this folder when you empty your trash.
  • New email size and attachment limit: 35 MB
  • New Online Archive folder: Unlimited storage for emails by activating your Archive folder. Move seldom used emails or folders into the Archive. Can still search here for emails, however, can only be accessed when connected to the internet.
  • Server management: Provided by Microsoft as a cloud-based service, instead of by C&C
  • Resource calendars are added in the location section with "Add Room" instead of the scheduling assistant.
  • Application management: Applications are available for collaboration with others.
  • New Archiving feature in Office 365.
  • New URL for Outlook Web App: http://outlook.com/ucr.edu (user name is your UCRNetID@ucr.edu)
  • See "What's New in Outlook 2016 for Windows"
  • See "What's New in Outlook 2016 for Mac"

Some temporary limitations you'll see until all email and calendar accounts have been moved to Office 365:

  • If you view people's free/busy time or have shared calendars:
You'll be able to see anyone's free/busy availability when you schedule meetings, whether their accounts have been moved or not. In addition, you'll be able to view shared calendars, whether the person's account has been moved or not.
  • If you manage other people's calendars:
You'll only be able to manage the calendars of people whose accounts have also been moved to Office 365. You'll still be able to see anyone's free/busy availability when you schedule meetings, whether their accounts have been moved or not.
  • If you are a delegate or have delegates:
C&C will move accounts based on department, which should cover most accounts that have delegate relationships. You won't be able to establish new delegate relationships with any colleagues whose accounts have not yet been moved.
