Glossary of Terms


 

Award Activation Date:

On the Search screen, this field may be used to locate an award based on a specific time period (Month/Year) when the award was activated in COEUS by The Office of Research and Economic Development (RED).

Award Activated On:

On the Status of Award screen, this is the date the award is activated in COEUS by RED. Award status is now Active and e-mail notification #1 is sent.

Award Amount:

The amount of the award provided to UCR by the Sponsor. On the Search screen, this may be used to locate an award based on the award amount. Search options include < (less than); <= (less than or equal to); = (equal to); >= (greater than or equal to); > (greater than).

Award Received On:

The date the award is received in RED from Sponsor.

Award Status:

Assigned in COEUS by RED. On Search screen, this may be used to locate any/all award(s) based on the options available in the pull down menu (Active, Terminated, Closed)

BEA:

Budget Establishment and Adjustment. Transactor completes the BEA by filling in the amounts for each budget category based upon the approved award budget.

Courtesy Copy:

Access assigned by department System Access Administrator through the Enterprise Access Control System. Allows access to Award Information (Search) screen (excluding scanned documents). Individuals with Courtesy Copy access receive e-mail notifications #1 and #3.

COEUS:

Greek Titan of Intelligence. Database used by RED and licensed from Massachusetts Institute of Technology (MIT). Used by RED to track and record proposal and award data. Data entered into COEUS feeds into PAMIS upon award activation.

EACS:

Enterprise Access Control System. System used by departmental System Access Administrator (SAA) to assign access to PAMIS and other UCR applications.

Funds Available On:

The date e-mail notification #3 is sent, indicating that the funds have been posted and are available in UCRFS.

Fund Code:

Assigned by the Extramural Funds Manager. On Search screen, this may be used as search criteria when trying to locate an award with a specific Fund number.

Fund Established On:

The date e-mail notification #2 is sent, indicating that Accounting has assigned the Fund attributes/Fund #.

Inquirer:

Access assigned by department System Access Administrator through the Enterprise Access Control System. Allows read-only access to all aspects of PAMIS. Individuals with Inquirer access do not receive e-mail notifications.

Non-Secure Access:

Non-password protected access to PAMIS. Allows view-only access to PAMIS; access to the scanned documents is not provided.

PAMIS:

Proposal and Award Management Information System. Web-based system developed by UCR Computing & Communication (C&C), providing an interface between the RED database (COEUS) and UCRFS. PAMIS includes E-mail notifications. All documentation is instantly available online to various users across campus.

PAMIS Award Number:

Assigned by COEUS to uniquely identify each award. On Search screen, this may be used as search criteria when trying to locate the increments/modifications related to an award. 

PAMIS Budget Submitted On:

The date the Department submits the PAMIS BEA to UCRFS.

SAA:

System Access Administrator. Department System Access Administrators (SAAs) grant access to PAMIS and other UCR applications via the Enterprise Access Control System.

Save as WIP:

Save as Work In Progress. Allows incomplete BEA to be saved for later review and correction.

Secure Access:

Username and password protected. Secure access requires UCR Net ID and password for access to all secure PAMIS functions.

Sponsor Award Number:

Award number assigned by Sponsoring agency and included on Sponsor award documents. On search screen, this may be used to search by Sponsor Award Number.

Submit BEA:

Once Accounting creates the Fund attributes for an award the Submit BEA button becomes available on the Department/BEA Display. The BEA is submitted to UCRFS through PAMIS once it has passed all business rule validations.

Transactor:

Access assigned by System Access Administrator through the Enterprise Access Control System. Allows access to all aspects of PAMIS, including the ability to create the PAMIS BEA. Transactor receives all e-mail notifications.

UCR Activity Code:

On the Search screen, this will locate all awards associated with a given Activity Code. Results will include all records associated with PIs and CO-PIs under the specified Activity Code.

UCR NET ID:

The UCR Net ID is a unique ID available for all UCR Faculty and Staff and once assigned gives access to most UCR systems. The UCR Net ID and password are required for secure access to PAMIS.

UCRFS:

UCR Financial System.

View Ora/Manual Records:

On the Search screen, this button provides a list of awards that were processed outside of PAMIS.
