Routing & Roles


Time & Attendance System Roles

The Time & Attendance Reporting System supports the following roles.  Some roles are automatically assigned, while other roles are authorized via the Enterprise Access & Control System (EACS) or within the Time & Attendance Reporting System.
  • Employee/Time Reporter – Assigned to all UCR employees, based on the Human Resources Data Warehouse profile.  For more information on specific eligibilty, please see the "Who Should Use the System" page.
  • Pre-Approver - Optional role assigned by the Supervisor within the Time & Attendance Reporting System.  Pre-Approver can be added as an additional reviewer to ensure accuracy of the timesheet entries.
  • Supervisor –  Assigned via Enterprise Directory designation.
  • Time & Attendance Administrator – Assigned via EACS by Departmental SAA.
  • Organizational/Departmental Inquirer – Assigned via EACS by Departmental SAA.

Time & Attendance Routing & Approval Process

TImesheet records are routed through the Approval Process as follows:

  • Employee submits to the Supervisor
  • Supervisor submits to the Time & Attendance Administrator
  • Time & Attendance Administrator submits to PPS

Email notifications are generated as the timesheet advances through the approval process.

Automatic Routing

All timesheets require positive confirmation from the Employee & Supervisor. However, to ensure timely action and to meet payroll deadlines, timesheets move through the approval and routing process with or without Employee or Supervisor approval.

If a timesheet has been auto-submitted the Approval Log will record SYSTEM rather than a user name.  TAAs should review the Approval Log and if a SYSTEM approval was made the timesheet should be returned for approval to avoid the late approval process and potential negative confirmations.

Note!  Employees can submit their timesheet at any time.  Timesheets are auto-submitted if they are NOT ALREADY submitted to the supervisor.

  • EXEMPT EMPLOYEES, Monthly time reporting schedule
    • On the evening of the 15th timesheets automatically move to the Supervisor queue with or without Employee action.
    • On the evening of the 18th timesheets automatically move to the Time & Attendance Administrator with or without Supervisor approval.
  • NON-EXEMPT EMPLOYES, Bi-Weekly time reporting schedule
    • On Tuesday evening timesheets automatically move to the Supervisor queue with or without Employee action.
    • On Wednesday evening timesheets automatically move to the TAA queue with or without Supervisor approval
  • Employees or Supervisors who fail to approve a timesheet before Automatic Routing still must approve the timesheet. For more information on this, please see the "Top 7 Considerations" page
