TEL Coordinators

TEL Coordinators are responsible for managing their own departments TEL entries, which includes the creation of UCR NetID and temporary passwords. This means the changes to passwords are possible as well as the creation of UCR Net ID's. The UCR NetID allows eligible UCR employees (excluding all students) access to many campus enterprise systems.

Significant changes have been made to UCR TEL, the campus electronic telephone directory database. Up to now, the departments TEL Coordinators have been able to manage their own departments TEL entries. Now Computing and Communications has added the additional capability of also managing their department's Staff and Faculty UCR Net ID's. This means the changes to passwords are possible as well as the creation of UCR Net ID's. The UCR Net ID allows eligible UCR employees (excluding all students) access to many campus enterprise systems. To see a current list of programs that require a UCR Net ID, please visit: http://cnc.ucr.edu/esai. This list will change frequently as C&C migrates many more systems into utilizing the UCR Net ID.

By incorporating access to campus enterprise systems into the department's control, we will streamline the process for new employees to gain access to the daily tools they need. Additionally, this will provide a one-stop service for new employees. Their department will be able to incorporate the "UCR Net ID & Temporary Password Form" into their new hire packets and have the UCR Net ID ready within 24 hours from the day they start.

Additionally, we have incorporated the ability for Tel Coordinators to "re-set" passwords. This will prevent employees from visiting the Computing and Communications building merely to reset a forgotten password.

Recommended Procedures for New Employees

It is highly recommended to add the "UCR Net ID & Temporary Password Form" to your departments new hire packets.

Department PPS Preparer Responsibilities:
  1. The top portion of the "UCR Net ID & Temporary Password Form" should be completed with the employee as part of the hiring documents.
  2. The PPS Entry Staff will keep the form with personnel hiring information.
  3. Upon completion of data entry into PPS, the PPS Preparerwill enter the PPS Data Entry date on the form along with the Employee ID.
  4. The form is then forwarded to the TEL Coordinator.
  5. The day after the PPS Preparerentered the employee into PPS, the TEL Coordinator can enter the employee into TEL and Create a unique UCR NetID.
TEL Coordinator Responsibilities:
  1. Upon receipt of the "UCR Net ID & Temporary Password Form", the TEL Coordinator should determine if the PPS entry was done the day before. If the entries were made the day before, the employee's record will be available to enter into TEL. If not, the TEL Coordinator can not proceed.
  2. The TEL Coordinator will complete the "UCR Net ID & Temporary Password Form".

I. The UCR-TEL Program provides an easy and electronic method of accessing the UCR Campus Individual Directory Database. There is one version, which has read and edit capabilities. The edit capability is granted to a department employee to make additions and changes for their department/s. In addition to edit capabilities, this person will also have the ability to manage their department employee UCR Net ID's. This means that you will be able to create the UCR Net ID's and update or change passwords. These changes update the database immediately.   • Mandatory Scotmail email notices
  • Electronic Access for Wireless & Proxy

  • UCOP's on-line benefits email notifications of changes

To request the installation of UCR TEL on your computer contact MSG the Microcomputer Support Group (X23555). Upon completion of training you will be granted access to edit your departments' individual listings. 

 

TEL Coordinator Instructions

Start of the Application

To start the TEL program, double click on the program icon from your desktop:

OR select UCR Tel from your UCR Lite program file.

You will be connected to the Tel database server and you can now send queries to the server. During the process of connecting to the database server, the arrow cursor changes to an hourglass, indicating that the program is trying to establish the connection.

Now that you have successfully connected to the database server you can start to search for information. At the top right corner of the window you'll see the frame "V"alue : where you can enter your query. The default search combination is to search the Last Name field of the database for a string containing the information you enter in the textbox labeled Value. If you want to search different Field s or O perators, you can select them with a click of the left mouse button on the related line (Full Name, Last Name, First Name, Department Name, Title, Telephone & E-mail). For example, if one wants to find all the employees of the C&C department, one should click on Department in the Fields box and on Beginning with in the Operators box and then enter Computing (or a part of the word) in the Value box. The search string is case insensitive. After you have composed your search criteria you should click on the button labeled Searc h or press return on your keyboard.

After you submit your query the cursor changes to an hourglass during the time the server searches for the information. After the server returns the information it is displayed in two different places. First you'll get a table with a short one line summary information for each employee found. Below the table you can see all details about the selected (in the table above) employee, which is in the telephone database about this employee. If you move in the table up or down with arrow keys or you click on different lines with the mouse, you could see detailed information about all employees in the table.



Copy to Clipboard

After you search and find the information you wish to print, click on "C"opy . The window below will appear. Now you can select the rows of data you wish to import into your favorite spreadsheet or word processor.



Some of the fields from the database are already pre-selected for you ( Selected Fields ). You can add additional fields to the end of the pre-selected list (right hand side) by double clicking on the field in the Available Fields (left hand side).

Double click on the desired fields you wish to move from the Selected List and put them on the Available List.

When the Selected Fields List is the list you want to print, click on Copy & Close. The format of the copied data is in "tab delimited text." For best results, it is recommended to import the data in Excel. To use a word processing program, you will need to do some text adjustments.

Once you have invoked Excel, click on Edit/Paste. Now you can adjust the columns to the desired widths. The file is now ready to print.

 

Edit

On the File menu click on Login Maintenance . Enter a valid username and password for user authentication. Click OK or press the enter key. You should now see three additional buttons: Add, Edit andDelete .

To edit any information in the database follow the beginning instructions to query the name to be modified.

Once you have highlighted the name to be changed press the E dit button and a new window will open showing four tabs: E mployee Info, Employee Other, Add r ess, and Dept. Codes. Each tab shows all the information currently stored in the master database for this person. Place the cursor on the line you wish to change and enter the correct information. You must follow the attached TEL field descriptions to keep the directory data uniformed when printed.

When all the changes are completed press S ave & Close.

 

Add

To Add a new entry click on the Add button. The fields will be blank and ready for you to enter all the information. Once again follow the tel field descriptions for uniformity. Follow the detailed instructions for creating the UCR Net ID. Be sure to complete all required fields and press Save & Close.

 

UCR NET ID / Temporary Password

New Employees:

  2. The TEL Coordinator will complete the "UCR Net ID & Temporary Password Form".
    Creating a unique UCR Net ID
    • Create a unique UCR Net ID by using the person's first name and initial of last name. Example: TERRIM. Please keep in mind that once a UCR Net ID is created for an employee, they will not be able to change this at a later time, even if they change their name.
    • Use a minimum of 5 and maximum of 8 letters.
    • Verify the UCR Net ID is not already allocated to an employee by completing a search in the UCR-Tel database. It must be unique.

  • Once you have clicked on the turquoise button, search by Last Name. If they are in the system click "select" and continue to II, Creating a Temporary Password. If they are not in the system by name continue to sort and search by using the "username". To sort, click on the word 'username' and the list will be in alphabetical order. Use the full first name and letter/s from the last name.

  • If the first name initial sequence is not available, use an appropriate combination of the person's name. Only use a combination of the person's name. Examples: TERRIM, TERRIMC, TERRIMCD, TERRM, TERRMC, etc.

II. Creating a Temporary Password

• Create a Temporary Password for initial use by the employee.

• Use a minimum of 6 and a maximum of 8 characters.

• USE Random #'s and letters. Example: kdj444, kjw498, opc098.

• Do not use a generic password like changeme, abcdef, password etc.

• Create a Different one for every individual.

• It must be difficult.

• You must use at least 2 alpha and 1 numeric character.

• The password will be case sensitive.

  • Once the "UCR Net ID & Temporary Password Form " has been completed by the TEL Coordinator, the TEL Coordinator must enter the employees' information into TEL, including the UCR Net ID and temporary password.
    • You have now been given the ability to enter these items. Be sure to complete ALL fields. However, you will not need to input an email address in the email field if the user will be using the Campus Email system. This system will automatically populate the email field when you choose "Campus Email". If your employee will be using a department email account, for example: janes@parking.ucr.edu or johnd@cs.ucr.edu ; click on the choice "other" and complete the field with a valid email address.
  • Notify the employee of their UCR Net ID and temporary password within two hours of UCR Tel update. The Temporary Password Registration will be available to the employee. Provide a copy of the " UCR Net ID & Temporary Password Form" and instruct the employee that they must register a permanent password on-line within 7 days. This information is confidential. The Tel Coordinators are the department of records for the original forms. If the employee does not register within 7 days, the Tel Coordinator will need to re-create the temporary password using the same procedures above.
"D"elete

If an individual has left UCR, remove their record from the database by pressing the D elete button. By deleting an individual you will also cancel their email. DO NOT delete a record if the person has only transferred to another department. On the E mployee Info tab change the "Primary Dept code" to the new department code. When you S ave & Close this record you will no longer have access to this individual's information. You have granted access to the "new" department so they can now make the appropriate changes.

Active / Inactive / "R"eactivate

When an employee is deleted they are no longer accessible from the "active" database. As of September 7, 2004 all deleted employees data will be stored in the inactive portion of UCR Tel. If an employee returns to UCR after termination or their record has been deleted in error you will be able to Reactivate that employees record. You may search by clicking the "inactive" or "all" bullet from the first screen. Verify and update all fields and complete the UCR NET ID process using a new application.

 

These are the program prompts you may receive prior to completing the update process:

Be sure the username uses only the person's full first name and initial of last name: terrim, terrimc, etc.

Be sure to have the Net Id Form signed and filed.

The password must be only 6-8 characters. And contain at least 1 number.

And the password must contain at least two alpha characters.

Click on this button to search for username.

Temporary Password:

6-8 characters. Use at least 2 alphas and 1 number. Example: aarr12, Krb123, unc456 etc.
