Graduate Division Responsibilities

Preparing the System to accept Applications

  • Program, Program Degree and Term Creation

    In order to accept applications, the Graduate Division must first create the Programs in the Graduate Division Maintenance system. Once a program is created, it is necessary to specify which academic years the program is available. For each academic year, the System needs the degrees available to each program to be specified. Once the degrees for each program have been specified, it is necessary to associate a Program/Degree combination to a specific department (Golden Tree).

  • Cohort Creation

    In order for the Financial Support System to operate, it is necessary to define the dates for a given Cohort. Cohort dates may not overlap with other Cohorts.


  • Academic Year Display

    The Graduate Division may set which years are available to the applicant when viewing Graduate Program Information and staff. It may also set which year is selected by default when an applicant is viewing information about a program or when staff is accessing their maintenance pages.

  • Confidential Financial Statement (International Applicants only)

    The Graduate Division will need to set the dollar values that will be displayed to International applications on the Confidential Financial Statement. The statements are stored by academic year and whether or not it is for an MBA applicant.


  • General Information

    The Graduate Division is responsible for maintaining various types of information that will be displayed to applicants either on the web site or in emails. The Graduate Division may specify things like a Welcome Message, an Overview of the Campus and the Programs offered, etc. by Academic Year.

  • Test Score Feeds

    Div Admin 6

    Grad SIS has been programmed to accept feeds from ETS and attempt to associate test results to applicants’ applications for admission. If a test score is received and the System is unable to associate the scores with a file, the feeds are displayed so that the Graduate Division may administer them and associate them with applicants’ applications.

  • Creating Exceptions to the GRE Requirement

    Specify which Program/Degrees may have the GRE requirement waived by Academic Year



  • Creating Offer/Reject Letters

    Specify the letters for applicants who are:

    • Domestic
      • Applying for a Ph.D program
        • And admitted with financial support
        • And admitted without financial support
      • Applying for a Master's program
        • And admitted with financial support
        • And admitted without financial support
    • International
      • Applying for a Ph.D program
        • And admitted with financial support
        • And admitted without financial support
      • Applying for a Master's program
        • And admitted with financial support
        • And admitted without financial support
    • Rejected

  • Application Fee Specification

    Set the Application Fee for Domestic and International applicants, as well as the AGSM fee. You may specify between which dates the particular fee applies.


  • Program/Degree Information

    Once the Programs and Degrees have been set, the System needs to know when it is allowed to accept applications for a given program/degree in a given academic year (i.e. the begin and end dates applicants may apply for “Chemistry PhD. for the Fall 2007 term”).

  • Special Program Creation

    Div Admin 11

    Specify the special programs with which an applicant may have an affiliation. These programs will be presented to the applicant during the Application process. Specify if affiliation with the special program is makes the applicant eligible for application fee waiver.

  • School Code Management

    Div Admin 12

    Specify the “Long Name” label for the institutions as it should be displayed to the applicants.
