Headcount/FTE by Appointment Type


 

This report will show a Headcount and the Full Time Equivalents (FTE) of staff employees by Personnel Program Type (Senior Management (SMG), Management and Senior Professionals (MSP), Professional and Support Staff (PSS) and Academic (ACD). The report will show a count of each Personnel Program Type by Appointment Type, Career, Limited, Casual Restricted, Per Diem, Contract, Academic and Floater

This report has 2 sections:
Section 1: Provides the Headcount of employees by Appointment Types and Personnel Programs.

Section 2: Shows the cumulative percentage to come up with the FTE. (for example, if one employee is .75 and another is 1.0 then FTE is 1.75).

The report will include employees in the Headcount as long as the employee is an active employee (including status N and P) regardless of distribution percentage. Counts from Section 1 and Section 2 can be shown by organization, division within the organization and department within division.

Using the Report Return to Top
In this report, the latest Fiscal Year and Accounting Period are selected by default.
Users may change the Fiscal Year & Accounting Period and then further select Organization, Division and Department by clicking on the magnifying glass symbol next to each item.

Users may then click on OK and the report will be generated on the page below. If users wish to export the generated report to Excel then they click on the Excel icon below the report selection drop down box.

PPS Screens Return to Top
The PPS screens are organized so that an individual employee's data can be obtained by entering the employee's name or ID. To verify the data on the data warehouse reports using the PPS screens, each employee's name or ID from a group of employees(by org code or department, or division or activity) must be entered and each PPS screen listed must be interrogated. A count must be kept for each employee in order to summarize the counts and compare the counts to the counts of each report.

PPS Screens:
IGEN - Shows ethnic codes, employee status, sex code, hire date, separation date and other general information
IAPP - Shows Appointment and Distribution Data, this screen has FTE %, appointment
Type, grade, personnel program type, FAU, home department, bargaining unit
IPER - Shows employment service credit months

To reproduce this report in PPS go to screen IAPP and enter the employee ID or employee name, check the personnel program type to determine what type of employee (PSS, MSP, SMG), add up FTE% for this employee and add that to an FTE count by PSS, MSP or SMG, add 1 to a head count by PSS, MSP or SMG.

Repeat this iteration for each employee in the group of employees that you have selected.

To reproduce 1a in the Query Builder select from the following in the Criteria and the Columns tabs:

Criteria Tab

Fiscal/Year section
- Fiscal Year
- Accounting Period

Scope
- Specify Organization, Division, and/ Department

Employee Info section
- Employment Status Code equal to A, N or P

Appointment/Distribution Info section
- Select Appointment Type Code and Personnel Program Code according to the table provided below

Columns Tab

Employee section
- Select Employee ID, Employee Name
- Select Primary Title Code(to be used to ID. Personnel Pgm in conjunction with Personnel Pgm Code)

Appointment section
- Select Title Code
- Select Personnel Pgm Code (to be used to ID. Personnel Pgm in conjunction with Primary Title Code)

-Export the results of the query into excel.
-Drop the rows where the Primary Title Code DOES NOT MATCH the Title Code from the Appointment Section
-Use the table provided below to ID Personnel Pgm by Personnel Pgm. Code and Primary Title Code

-Drop the rows where the Primary Title Code DOES NOT MATCH the Title Code from the Appointment Section
-Use the table provided below to ID Personnel Pgm by Personnel Pgm. Code and Primary Title Code

Percent Full Time: Add up the percent full time to match it to the percent full time on 1b for appointment type and Personnel Program Group.

Repeat the above steps for each group in Personnel Program (SMG, MSP, PSS, ACD) and Appointment Type (Career, Limited, Casual Restricted, Per Diem, Contract, Academic and Floater) according to the table below.
