Privacy & Confidentiality

Because of the extremely sensitive nature of personnel data, HRDW employs a number of security measure to preserve the privacy and confidentiality of employees whose data exists within the system.

Security Measures

HRDW requires secure (https:) connections to all clients accessing the system, which prevents the possibility of data being intercepted in transmission. In addition

Access to HRDW is established and controlled by departmental System Access Administrators (SAAs), subject to the provisions of UCR's enterprise accountability initiative. For more information on access controls to HRDW, please see the Gaining Access page.

Security has also been implemented within the HRDW system. Specific security provisions exist within both the query tool and the pre-defined reports.

Security functionality enabled within the Query Tool

The HRDW query tool functions in two modes: detail and summary mode.

  • Detail mode provides specific information about individual records within HRDW (such as individual employee's salary, time of service, or other information).
  • Summary mode provides aggregate counts on a limited set of data fields within the HRDW.

The following security functionality exists for these modes of operation:

In Detail mode, the user has access only to information for personnel within the specific accountability structures (organization, division, or department) under which he/she has been granted access to HRDW via EACS. For example, if a user is granted access to the department code for Botany & Plant Sciences, in detail mode he/she will only see information for Botany & Plant Sciences, and not for other CNAS departments, or other units on campus.

In Summary mode, the user has access to campuswide aggregrate counts for a limited set of data fields within the HRDW because detailed private information is not exposed.

Security functionality enabled within Reports

The majority of HRDW reports provide aggregate information along specific parameters (ex. counts of employees based on ethnic code or bargaining unit). Because these reports expose no private information, users are not restricted in their selection of campus units.

A few of the HRDW pre-defined reports provide lists of specific employee data. For these reports, as in the detail mode within the query tool, users may only query and retrieve personnel information for the specific accountability structures (organization, division, or department) under which he/she has been granted access to HRDW via EACS.
