Using The Program


Initiating a Job Description

Three options are available to the Departmental HR Coordinator when initiating a new Job Description.

  • Initiate a Job Description
  • Initiate Job Description from Template
  • Search For an Existing Job Description and Copy as New

Initiating a blank Job Description

Opening a blank job description creates a blank job description. Selecting to open a blank job description will bring the user to the General Info tab of the JDS and allow the user to populate the various JD fields.

Searching for a Job Description

Selecting to search for an existing job description allows the department user to search for a preexisting JD to copy as a new one. The search engine is used for both templates and existing JDs. Users can use the search engine tool to locate an existing job description.

To search, use the magnifying glasses next to the text fields to populate the title code, org unit, and/or home department fields to perform a search. A search dialog will appear for each magnifying glass clicked and the user can search and filter their results.

General Information

The general info tab establishes the overall foundation that is necessary for the rest of the job description. The following fields can be found in the General Info tab:

  • Employee Information - Information entered here will be necessary for programs that utilize the JDS such as iRecruit, iReview, and others.
  • Title Code Information - Defining a Title Code will additionally auto-populate the Payroll Title, Grade/Step, FLSA, Personnel Program Code & Description, and the Bargaining Unit Code and Description. The HEERA Code & Working Title are input independently.
  • Department information - Including the department the position will exist in, department head and supervisor.
  • Other Position Details - These includes any special requirements of the position, positions supervised by this position. level of supervision and equipment, machines & vehicles utilized by the position.

Essential Functions

The essential functions tab defines the functions necessary of the position. The grid set up allows the department to define priorities on tasks and functions. The user can set a percentage value relevant the percent of time and effort expected for the specified function. The percentage number for duties must add up to 100%

Minimum Requirements

The minimum requirements tab defines the minimum requirements necessary for the applicant. The department may set a display order to the minimum requirements sections for the application overview.

The preferred qualifications tab defines the preferred qualifications necessary for the applicant. The department may set a display order to the preferred qualifications to how a preferred precedent in the application overview.

Approvals

The approvals tab allows users to check out the JD in progress to any user. This functionality is open to all users and not necessarily those with EACS roles for JDS. To check out, search for a user's NetID using the search function. Approvals and rejections will need to be made with comments.

Update Job Description

The Update Job Description feature allows classified job descriptions to be updated with new information. Use the search query tool to locate an existing job description. To search, use the magnifying glasses next to the text fields to populate the title code, org unit, and/or home department fields to perform a search. A search dialog will appear for each magnifying glass clicked and the user can search and filter their results.

When a JD is found, select update and users will have the option of performing minor updates, such as typo's, and supervisor changes.  Major updates to job descriptions should be submitted as a Reclassification or Equity review via the iReview application.

Job Descriptions in Progress

The Job Descriptions in Progress (WIP) page shows the open job descriptions that are currently in your queue. This page displays a grid that includes the job description ID, employee name, working title, payroll title, department, and routing status.

The Open Job Descriptions page displays all the work in progress JDs within the user's accountability structure. This page displays a grid that includes the job description ID, employee name, working title, payroll title, department, and routing status.

Job Descriptions - Checked Out to Me For Review

Job Descriptions that have been checked out to users via the check-out feature will be viewable on this page. This functionality is open to all users and not necessarily those with EACS roles for JDS. Approvals and rejections will need to be made with accompanying comments.
