Email Encryption


Office 365 Message Encryption

Deliver confidential communications with enhanced security. Those who have an Office 365 email account can send and receive encrypted email as easily as regular email directly from their desktop. There is no software to download or plugins to add. 

  • Send encrypted email messages to anyone, regardless of the recipient's email address (or what platform they are using)
  • Enhance the security of subsequent email responses by encrypting each message in the thread
  • Encrypted email delivered directly to recipients' inbox and not to a web service
  • Encryption process is transparent to the sender, who does not need to do anything other than write and send the message as usual
  • Set further restrictions on the email you send (i.e. no forwarding)
  • Attachments sent with the message are also automatically encrypted
  • Encrypted email messages sent to your mailbox are automatically decrypted.

How to send an encrypted message

  1. Add [encrypt] or [secure] to the beginning of the subject line. This can be done via the web or Office client. 
    Example: "[encrypt] Incoming students list" or "[secure] Incoming students list"

    Alternatively, in Office 2013 and Office 2016, you can follow the instructions on Encrypting Email Messages
  2. Send to your recipient with parameters set. Additional parameters can only be set in Outlook. 

How to open an encrypted message

  1. Recipient will receive the message with a notification that message encryption has been applied by Microsoft. This message can be opened from the attachment. 
    "You've received an encrypted message from person@ucr.edu
    To view your message
    Save and open the attachment (message.html), and follow the instructions.
    Sign in using the following email address: person@ucr.edu"
  2. Open the attachment
  3. Secure emails delivered to you are automatically decrypted by the system without having to visit the portal.
