Special or Additional Requirements Based on Location of Data (laptop or portable device vs. server)

Research Data Housed on a Server

  1. When practical, data should be housed on a server managed by experienced system administrators. The server administrators must follow all Server Security technical guidelines provided by C&C. Use of encryption programs is encouraged so that data cannot be accessed even if systems are compromised.

Research Data Housed on a Laptop or Other Portable Device

  1. The researcher should ensure that the laptop or other portable device meets UCR's minimum requirements for connecting to the campus network. When transporting portable devices do not leave them unattended. Use of encryption programs is encouraged so that data cannot be accessed even if systems are stolen.
  2. Encryption is the process of converting data into code (obfuscating the data), preventing unauthorized access unless a specific algorithm and key are provided to interpret the cipher. Restricted data on portable devices should always be encrypted. If restricted information, that is data any confidential or personal information that is protected by law or policy, is to be sent to another researcher, steps should be taken to encrypt the data while in transit from the trusted network and ensure that the recipient is aware of the responsibilities and guidelines for correct handling of the protected data.
